Privacy and Cookie Policy

This privacy policy sets out how Quantum AV uses and protects any information that you give us while using this website. Quantum AV is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement. We may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes.

Quantum AV are committed to protecting the privacy of our customers and will not disclose any information except those who are involved in the fulfilment of your order, including the process of arranging item(s) being sent to you. We will do everything necessary to ensure you have peace of mind in knowing that your information is kept private.

What we collect

We may collect the following information:

  • name
  • contact information including email address & telephone number
  • details of payment method used

We collect this information to fulfil your orders. Email addresses and telephone numbers collected allow us to contact you urgently if there is a problem with your order. We share it only where it is needed to run the shop, as set out under Third parties below.

What we do with the information we gather

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping.
  • We may use the information to improve our products and services.
  • We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided.
  • From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. We may use the information to customise the website according to your interests.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

How we use cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us. You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the website.

Links to other websites

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Controlling your personal information

You may choose to restrict the collection or use of your personal information in the following ways:

  • we only add you to our mailing list if you ask us to, and every marketing email we send carries an unsubscribe link
  • if you ask to be notified about a product, every notification email carries a link that stops the notifications for that product, and we delete the address we hold for it six months after you asked
  • if you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by letting us know using our Contact Us information

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.

You may request a copy of the personal information we hold about you under the UK GDPR and the Data Protection Act 2018. There is no charge, and we will respond within one month. You may also ask us to correct or delete your information, or to stop using it for marketing. Please contact us using our Contact Us information.

If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.

We are always pleased to get feedback from customers, even when negative. We are grateful for any time you spend providing us with the knowledge we need to ensure our customers are completely satisfied.

User Access

Usernames and passwords are provided to you only, as a customer of Quantum AV. This allows you to access personal information that we are holding on your account. You are able to update, delete and amend this information. The account allows you to access this feature.

Marketing emails

We send marketing email in only three situations, and only ever to an address you have given us:

  • Our newsletter. If you subscribe to our mailing list we will send you occasional emails about new products and special offers. Subscribing takes effect straight away.
  • An unfinished order. If you leave items in your basket and we already hold your email address, we may send you a single reminder a few hours later. We only hold that address because you gave it to us: by subscribing to the newsletter, by signing in or creating an account, or by entering it while starting an order you did not finish. We send at most one reminder for a basket, never a second.
  • Notifications you request. On a product page you can ask us to email you about offers and price changes for that product. To do that we keep the email address you give us, the product, and the price at the time you asked, for six months, after which we delete them. Every email we send you carries a link that stops the notifications for that product; your other notifications, and your newsletter subscription if you have one, are unaffected. We send these emails only to an address you have given us for that purpose.

Every marketing email we send carries an unsubscribe link, and our newsletter also supports the one-click unsubscribe built into most email apps. Unsubscribing from basket reminders stops those without affecting the newsletter, and vice versa. You can also ask us to stop at any time using our Contact Us information.

Emails about an order you have actually placed, such as confirmations and dispatch notices, and replies to enquiries you send us, are not marketing. We send those because you have bought something or contacted us, so they are not covered by the unsubscribe links above.

Third parties

We share only what is needed, and only with the organisations that help us run the shop:

  • Payment providers. Payments are handled by Revolut, and by PayPal where you choose it. They receive what they need to take and secure the payment. We never see or store your full card number.
  • Delivery companies. Your name, delivery address and contact details go to the carrier handling your parcel, usually DPD and sometimes Royal Mail, Parcel Force or FedEx, so they can deliver it and keep you informed.
  • Email delivery. Our emails are sent through Mailgun, which handles your email address in order to deliver them.
  • Reviews. Once an order is complete we may invite you to review us on Trustpilot. The invitation comes from us, and you share something with Trustpilot only if you choose to write a review.
  • Analytics and advertising. We use Google Analytics and Google Ads to understand how the site is used and whether our advertising works, and Google reCAPTCHA to keep spam off our forms. When we record a completed order, your email address and telephone number are included in a scrambled (hashed) form that cannot be turned back into the original, so the sale can be matched without us handing over your details.

These organisations may use your information only to provide their service to us.
